Job Title: Receptionist / Customer Service Representative
Position Description:
We are seeking an automotive customer service representative to work with our customers through all stages of the auto repair process. You will be responsible for creating a positive customer experience by providing 5-star service. You will use your exceptional communication skills to become the liaison between the insurance company, Today’s Collision and our customers. You will follow the job as it progresses through the shop, ensuring all team members and the customer remain informed throughout the repair process.
This shop is a busy, fast-paced environment. Punctuality and organization are keys to success in this position.
Primary Responsibilities:
- Greet customers when they drop-off / pick up their vehicles.
- Answer incoming calls and provide customers with relevant information based on their stage in the repair process.
- Communicate estimate information to the customer, provide any associated necessary documents, and explain the repair process and next steps.
- Ensure that all customer and job information is properly entered into ProfitNet.
- Set-up rentals in Enterprise ARMS system.
- Call Insurance Companies, Follow up with Customers, Provide back-up and support to the Back-end Estimator if necessary.
- Payments – Receive payments via mail or physically collect the payment from the customer.
- Follow up with customers regarding payments / receivables
- Send review requests to customers within 24 hours of pick-up
- Other duties as assigned
Required Experience & Skills:
Candidate should have a High School Diploma
Exceptional customer service and organizational skills a must.
Effective communication skills and ability to interact with both internal and external customers
Exceptional organizational skills and attention to detail a must.
Strong time-management skills
Compensation:
Starting salary for this position will commensurate with experience.

Job Title: Front Office Customer Service Representative
Position Description:
We are seeking an experienced automotive customer service representative to work with our customers through all stages of the auto repair process. You will be responsible for creating a positive customer experience by providing 5-star service. After reviewing the initial estimate, you will use your exceptional communication skills to become the liaison between the insurance company, Today’s Collision and our customers. You will follow the job as it progresses through the shop, ensuring all team members and the customer remain informed throughout the repair process.

Primary Responsibilities:
- Greet customers when they drop-off / pick up their vehicles.
- Answer incoming calls, and provide customers with relevant information based on their stage in the repair process.
- Write Estimates. These will include Match and Locking, Insurance Appraisals and creating Supplements.
- Write original appraisal for Insurance Claims; Write Self-Pay Estimates for customers, including any additional work
- Follow the jobs through the shop, making sure every procedure and part is included on the Repair Order
- Communicate estimate information to the customer, provide any associated necessary documents, and explain the repair process and next steps.
- Ensure that all customer and job information is properly entered into ProfitNet.
- Set-up customer files.
- Set-up rentals in Enterprise ARMS system / insurance reservations
- Perform customer check-ins.
- Become a liaison between the front office and the production staff to ensure that the highest level of communication is being maintained at all times.
- Call Insurance Companies, Follow up with Customers, Provide back-up and support to the Back-end Estimator if necessary.
- Close the Repair Order for “end-of-month” through the Management System
- Follow up with customers regarding payments / receivables
- Send review requests to customers within 24 hours of pick-up
- Help establish policies and procedures to streamline the front office daily work. This includes providing suggestions for improving systems and communications with Service Writer, Technicians, Parts Person and Back End Estimator
- Learn Text Request communication platform and follow procedures for communicating with customers throughout the repair process. Respond to all customer requests promptly and professionally.
- Ensure that the front office is clean and presentable
- Other duties as assigned.
Required Experience & Skills:
Candidate should have a High School Diploma.
Automotive industry experience is preferred.
Exceptional customer service and organizational skills a must.
Prior auto body estimating experience preferred.
Effective communication skills and ability to interact with both internal and external customers Exceptional organizational skills and attention to detail a must.
